About us  

Mahjong Ireland (“the club”) is the governing body for the game of mahjong across the island of Ireland, and is applying for affiliation to the European Mahjong Association (EMA).

This website and associated social media pages are maintained by Andrew Smith on behalf of All-Ireland Mahjong for the purposes of data protection legislation; he is the data controller.

We are committed to protecting your privacy and processing your personal data in accordance with the General Data Protection Regulation (GDPR). This policy explains how the information we collect about you is used and kept securely. It also explains your privacy choices when using our website as well as your right to access your information under Data Protection Legislation.

What data we will collect  

On applying to become a member or to join in our activities, the club will collect information about you which will include your name and your preferred contact information (email address and/or telephone number and/or social media ID), and the types of mahjong you play or want to play, and any other information you voluntarily provide to us via our online and hardcopy forms for the purpose of registering you as a member of our club or/and entering you in an event that you have chosen to participate in. It will also collect your existing EMA ID, if you have one.

Our legal basis for processing your information

We will process it on the basis of the following legitimate interests:

  • to bring together players across Ireland to play mahjong;
  • registering you as a member;
  • handling your enquiries and responding to them;
  • administering your participation in mahjong games in Ireland and internationally;
  • providing relevant and necessary information via email and other electronic messaging services (SMS text, Whatsapp, Discord, and so on) about:
    • changes to rules and club regulations;
    • updates to advice and guidance to specific roles held within the club;
    • transactional information relating to club affiliation, transfers and registration, competitions and events, coaching events, and social events.

When we collect information from you, we will tell you if we would like to send you information about our products and services. We will give you the opportunity to opt in to any such communications and will tell you how you can opt-out at any time.

Sharing your data 

We may share your data with international governing bodies of mahjong, including the EMA and the World Riichi Championship, for the purposes of competition and event participation.

If you become a member and participate in EMA tournaments with affiliation to Ireland, we will share your data with the EMA. If you tell us that you wish to play in other international tournaments, with affiliation to Ireland, we will share your data with the organisers of those tournaments.

We may also share it with third-party data managers that we appoint as data processors as part of administering your involvement in mahjong.

We will share only what is needed for those purposes and, where possible, will anonymise the data before sharing. If we would like to share your information for any other purpose we will ask for your consent.

If we wish to share your data with third parties for marketing purposes, we will tell you about this and only do so if we get your consent. You can opt out at any time by notifying us.

The club may also share your personal information with An Gardai Siochana and other Statutory Agencies for the purposes of crime prevention, crime detection or the safety of our members. This is done on a strictly case by case basis and through a tightly controlled process to ensure we comply with Data Protection Legislation.

Protecting your information

The data that we collect from you may be transferred to a destination external to Mahjong Ireland’s own computers. We will only transfer your data outside of the European Economic Area if and when it is required for international events, and in those cases, only the data that is relevant to those events will be transferred as personally-identifiable data.

By submitting your personal data, you agree to this transfer, storing or processing. We will take all reasonable steps to ensure that your data is treated securely and in accordance with this privacy policy. The Internet is not generally a secure medium for communication and therefore we cannot guarantee the security of any information you send to us over the Internet.

We use up-to-date industry procedures to protect your personal information.

Finding out what information the club holds about you

You can ask for a copy of any personal information that we hold about you. You have the right to request corrections to any incorrect data we hold on you. You have the right to request deletion of any personal data we hold on you (except for any data that might relate to criminal investigations, the safety and well-being of others, and the club’s objective of ensuring that mahjong is played as a fair and honest game). For all of these requests, please email data@mahjong.ie. We will respond within 30 days.

Guidance on how long the club will keep your data

We will retain your data for such time as you are a player registered with us, or a non-member interested in joining the club and will then delete your information on a staged basis as follows:

Game, tournament and competition results will be kept indefinitely as a record of results. However, if you choose, your name will be detached from the results, and replaced with a numerical id that does not identify you.

Data that protects the safety or well-being of individuals, or protects the objective of the club to promote and facilitate the playing of mahjong as a fair and honest game, will be kept indefinitely.

All other data not covered above: name, email address(es), phone number(s), types of mahjong played and wanted to play, membership forms, emails and other written communications, will be deleted three years after an individual has last renewed their membership with the club, or has expressed an interest in joining us.

Privacy policy  

All of the personal data we collect from you will be collected, stored and processed in accordance with the terms of this privacy policy.

Changes to our Privacy Policy

We regularly review our Privacy Policy and updates will appear on this page when necessary. This Privacy Policy was last updated in March 2021.

Complaints  

If you have any concerns or complaints in relation to how the club collects and/or processes your personal data, you should contact data@mahjong.ie in the first instance. If you are dissatisfied with how your concern/complaint is dealt with by this club you have the right to report your concern/complaint to the Data Protection Commissioner.
